Application Guide for TUAT Encouragement Grant for Research Internship at Overseas Institution (Academic Year 2025 – 2nd Call)

Purpose
Supported by the Tokyo University of Agriculture and Technology Fund, this program offers grants for students to conduct research at overseas institutions. It aims to nurture students’ future potential before or early in their graduate studies. Eligible applicants are undergraduate fourth-year students planning to enter graduate school (sixth-year veterinary students), master’s students (including professional degree and integrated doctoral programs), and first- and second-year doctoral students.。
Expected outcomes for participating students through this program
As a young researcher, cultivate the following qualities to develop your future potential:
- the beginnings of international networking and collaborative research
- globally oriented career development
- the pursuit of new value by reassessing the significance of your research in a global context.
Eligible applicants
TUAT students who will or are expected to meet one of the following conditions between (1) and (5) on the starting date of the applicable research activity for this grant.
(1)Fourth-year undergraduate students who plan to enter a TUAT graduate school (excluding students at Cooperative Department of Veterinary Medicine)
(2)Sixth-year undergraduate students at Cooperative Department of Veterinary Medicine who plan to enter a TUAT graduate school
(3)Master's students or professional degree program students
(4)First- and second-year students in five-year integrated doctoral programs
(5)First- and second-year students in four-year integrated doctoral programs
*(1) or (2) students, who have not yet submitted an application to a TUAT graduate school and/or who are in the middle of their research internship overseas, are still eligible to apply as far as they are planning to enroll in a TUAT graduate school and their enrollment is to be approved by the end of March 2026.
Overseas travel requirements for this program
The overseas travel must be one for the purpose of conducting research activities at an overseas university, research institution or organization (hereinafter referred to as the “overseas institution”), and one which fulfils all following (1) to (3) requirements.
(1) Your research activities at the overseas institution must be started between August 1, 2025 and March 20, 2026. The duration of the period in which research activities are conducted in an overseas institution must be between 2 months and 6 months (*), and the research activities must be conducted continuously for the duration.
(2) You have obtained approval from your TUAT supervisor in advance prior to applying to this program.
(3) The overseas institution where you will conduct research has concrete prospects for your visit (at the application stage of this program, it is not mandatory that formal approval of your visit is granted by the host institution).
(4)Must be enrolled at TUAT at the time of completion of this program.
* If you wish to continue your research activities at the host institution beyond the initially approved period by receiving funding from personal expenses or other sources, continuation may be permitted. However, approval depends on the duration, content, and other factors. Therefore, you must consult the International Exchange Office in advance (contact information is on the last page of this guideline) before making such a request. Please note that even if continuation is approved, the scholarship provided under this program will only cover the initially approved period, and no funding will be provided for the extension period.

Number of grant recipients
Approximately 10 people per year (the number may increase or decrease slightly depending on the budget situation).
Financial support
The Grant covers the following expenses (1) and (2) for studying abroad at an overseas institution.
(1) Travel expenses: up to 200,000 yen for the cost of flight tickets to travel
(2)Stipends: for the duration of activities at the overseas institution (maximum 6 months), 100,000 yen or 150,000 yen per month depending on the destination as in the [Table 1]*
* Classification of the regions in the [Table 1] is deemed to be equivalent to that of the “TUAT Regulations for Handling Travel Expenses”, according to which TUAT supports its students and staff with their overseas travel expenses.

Complete submission of (1) and (2) by the application deadline listed below.

b. Copy of a letter, e-mail, or other documents which show that you have taken communication with the overseas institution about your visit (noncompulsory: only submit this when approval of your visit has been granted by the host institution)
c. Letter of Recommendation from your TUAT supervisor (free format)

Grant receipient screening
The "TUAT Encouragement Grant for Research Internship at Overseas Institution Selection Committee" established under the International Education Exchange Program Subcommittee will conduct a document review (first screening) and an interview screening (second screening) based on the application documents submitted by the applicants to determine grant recipients. The interview screening (second screening) will be held for those who pass the document screening.
Details regarding the interview examination (secondary examination) will be provided when the results of the first examination are notified.

Schedule for screening and other procedures
Application deadline: Monday, June 9, 2025
Notification of first screening results: Around Monday, June 30th
Second screening (interview): Early July (*Students who have passed the first screening will be informed of detailed schedules.)
Notification of acceptance/rejection: Mid-July (will be announced at latest by July 18)
* Notification of acceptance or rejection will be sent by email to the student's university email address.
If you have not received a result email by the above deadline, please contact International Affairs Office (see below).
Duties of a grant recipient and procedures after being selected as a grant recipient
① Procedures for receiving the subsidy
Those who are selected as recipients of the grant (hereinafter referred to as "recipients") must submit the following documents at least three weeks before the start of their trip in order to receive the grant. Please note that if all documents are not submitted by the specified deadline, the recipient's qualifications may be revoked.

A confirmed travel plan (the format will be notified to recipients separately)
b. Transfer request form
*Details regarding the submission deadline, where to submit, etc. will be sent to recipients by International Affairs Office separately.
*In addition to the above, you must also submit any documents required by your school or department regarding overseas travel, such as the Study Abroad Application/Overseas Travel Notification, by the deadlines specified by your school or department.
② Submit a report after the trip/report on results at a presentation
(1) The recipients must submit a “Accomplishment Report” (in a prescribed format) and report their accomplishments at a debriefing session.
(2)For the purpose of reporting to donors of TUAT Foundation, please submit a “Activity Report” (in a prescribed format), which will be posted to such as the website that explains how the TUAT Foundation fund is utilized (/outline/executive/fund/katsuyo/gakusei.html) and its pamphlets that TUAT will prepare for.
*The report format and details of the presentation session will be provided to recipients by International Affairs Office separately.
Change of plan after being selected as a grant recipient
If there are any changes to the start date, duration of the overseas trip, overseas institution, etc. after the grantee has been selected, a notification of plan change must be submitted (the format will be notified to the grantee separately). Based on the submitted notification of change, the application will be reviewed again, and changes will be permitted to the extent that it is determined that the original research plan and goals will be achieved. However, please note that changes that change the duration of the trip to less than two months or that start in the following fiscal year will not be permitted.
Important notice
Please take note of the following points when applying.
(1) If any falsehood or defect is found in the application, the application will be cancelled and the grant will be requested to be returned.
(2) Concurrent payment of this program grant in addition to other support expenses, etc. will be handled as follows:
① Regarding "travel expenses": Concurrent payment is permitted as long as the total amount of the subsidy for the airfare of this program together with other support expenses does not exceed the actual airfare cost paid by the recipient. However, recipients of this program will not be eligible for the "travel expenses subsidy for overseas study programs (mid- to long-term study abroad)" that the International Education Exchange Program Subcommittee plans to support for overseas study programs of 90 days or more.
② Regarding "“stipends": Concurrent award of other scholarships is permitted, but there are cases where the scholarship that is being awarded concurrently does not permit concurrent award of other scholarships, so applicants should check this before applying. Furthermore, if there is a maximum amount for other support expenses that the applicant wishes to receive concurrently, it is acceptable to reduce the amount of this program grant, so please consult with International Affairs Office if necessary. On another note, if you wish to receive this program grant and other financial support in duplicate, and if the other program(s) sets a limit on the total amount you can receive in duplicate, it is possible that we can adjust to reduce the grant amount you will receive by this program. Please consult the International Affairs Office if necessary.
(3)If you plan to start your travel in August or September, please contact the Educational Affairs Office before applying for the scholarship due to academic procedures such as submitting “Application for Permission to Study Abroad”. In addition, depending on the timing of the start of travel, payment of the grant may be made after the departure due to payment procedures in TUAT.
(4)One student is allowed to receive this program grant only once in a same academic year.
(5) If a student cannot meet one of the conditions in 2 (1) - (4) on the starting date of the research activity after being a grant recipient, his/her status as a recipient will be revoked and the grant will not be offered.
