For Students Planning to Travel Abroad

This page provides guidance for Tokyo University of Agriculture and Technology (TUAT) students planning to travel abroad, including pre-departure procedures, emergency response flowcharts, and precautions for bringing technical equipment or materials related to TUAT's education and research overseas.

Procedures

Required Documents Before Departure

TUAT students must submit the following documents to their department’s designated office before traveling abroad:

Please contact your department office for the "Application for Study Abroad" or "Notification of Overseas Travel" forms.

Enrollment in Overseas Travel Insurance

All students are required to enroll in overseas travel insurance to prepare for unexpected incidents.
Students participating in overseas academic or research activities as part of TUAT's educational programs must enroll in the “Futai Kaigaku” (Gakkensai-accompanied overseas travel insurance).

Registration with MOFA ("Tabi-Regi" / “Zairyu Todoke”) – For Japanese Nationals

Regardless of the length of stay, Japanese students must register their name, address abroad, and contact information with the Japanese embassy or consulate in the host country/region using the online system:
?

◎For stays less than 3 months → register with “Tabi-Regi”
◎For stays 3 months or more → submit a “Zairyu Todoke” (residence notification)
?

Note: Japanese nationals staying for more than 3 months are legally required to submit a Zairyu Todoke under Article 16 of the Passport Act. A “Return Notification” should also be submitted upon returning to Japan.

Both “Tabi-Regi” and the “Residency Notification” (Zairyu Todoke) can be submitted through the online registration system.

In the event of illness, injury, or an emergency while abroad, please follow the emergency response flowchart.

Transporting Research Materials, Equipment, or Samples from TUAT

TUAT has a responsibility to prevent the transfer of advanced research-related technologies, equipment, or samples to organizations or countries that may pose a national security risk.
If you plan to take any materials or equipment related to TUAT’s education or research abroad, consult your academic advisor beforehand. Also, be aware that bringing certain items back into Japan may be prohibited or regulated by both Japanese and foreign laws.
Even research samples, devices, or personal souvenirs may contain prohibited items. Please refer to the following resources for guidance:
